# Import Progress

> Follow a questionnaire file import while VoxDash processes it, cancel it if needed, and open the imported questionnaire when it is ready.

When you create a questionnaire by **uploading a file** (Word, Excel, PDF, or SPSS), VoxDash processes the file in the background and builds the questionnaire for you. This page explains what happens while the import runs and what you can do when it finishes.

## While the Import Runs

As soon as you start the import, a **processing** window opens. It shows:

* the file or files being processed,
* a progress bar with the elapsed time and an estimate of the time remaining,
* the processing stages and which one is currently running.

### Processing Stages

| Stage | What VoxDash does |
| - | - |
| **Validating** | Checks that the files can be read. |
| **Downloading** | Retrieves the files from your upload or your VoxDash library. |
| **Parsing** | Extracts the questions, answer options, and structure from the document. |
| **AI Refinement** | Uses AI to correct and complete the extracted questions. *AI processing only.* |
| **Logic Validation** | Uses AI to detect and check skip logic, display logic, and termination rules. *AI processing only.* |
| **Combining** | Merges the results from all files into one questionnaire. |
| **Creating** | Creates the questionnaire in the Questionnaire Builder. |

If you chose standard processing (without AI), the two AI stages are skipped.

### Keep Working While It Runs

You don't have to wait. Select **minimize** in the processing window to keep working elsewhere in VoxDash. A small status widget stays in the corner of the screen and shows how many imports are running. Select **View details** to reopen the processing window.

In the [questionnaire list](https://help.voxdash.com/Questionnaire-Builder/Questionnaire-List.md), the questionnaire appears with the status **Processing**. Its row actions are unavailable until the import finishes.

> The widget follows imports started from your browser. If you reload the page, it picks your running imports up again.

### Cancel an Import

To stop an import, select **Cancel import** in the processing window and confirm. Select **Keep importing** if you change your mind. A cancelled import does not create a questionnaire.

## When the Import Finishes

When processing is complete, the window shows **Import complete** with a summary:

* **Questions imported** — the number of questions created.
* **With logic** — how many of those questions have logic attached.

If only some of the files could be processed, the window says so and lists the files that failed. The questionnaire is still created from the files that succeeded.

Select **Go to editor** to open the new questionnaire.

> With AI processing, the intermediate results are kept as versions — **Step 1: Programmatic Generation**, **Step 2: AI Refinement**, and **Step 3: Logic Validation** — and their notes describe what each step found and fixed. ## If the Import Fails

If processing fails, the window shows **Processing failed** with the reason, when VoxDash knows it. Common causes:

| Cause | What to do |
| - | - |
| The file contains nothing that can be imported as questions | Check that the document contains the questionnaire text, not only images or scanned pages. |
| Your organization reached its questionnaire limit | Upgrade your plan or remove questionnaires you no longer need. The import is refused before it starts, with a link to your subscription. |
| The document layout could not be parsed | Try AI processing, which handles unusual layouts better, or simplify the document. |

## After Importing

Always review an imported questionnaire before you publish it:

1. Check the question texts, types, and answer options in the [Designer](https://help.voxdash.com/Questionnaire-Builder/Editorpanel-designer.md).
2. Review the detected logic in the [Logic tab](https://help.voxdash.com/Questionnaire-Builder/Editorpanel-logic.md).
3. Test the flow in the [Preview tab](https://help.voxdash.com/Questionnaire-Builder/Editorpanel-preview.md).
4. Add tags, metadata, and missing values where needed.
