The data entry process in your system ensures that each project is thoroughly documented and organized. Follow these steps to efficiently enter or edit data for your files.

1. View Uploaded Projects

  1. Navigate to the Data Project listing all previously uploaded projects.
  2. Review the names of all your uploaded projects to locate the one you want to edit or add data for.

Method 1: Direct Navigation

Click on the name of your project directly from the list to open the project page.
  1. Type the project’s name in the search bar to locate it quickly.
  2. Click on the project’s name from the search results to access the data entry page.
After using one of these two methods, you should click on the box next to the title of the data project and then click on the Details button to navigate you to the data entry page.

Once on the project page: Click the Fill data entry button located in the top-right corner of the sidebar to access the general data entry section.

3. General Data Entry

Upon clicking the Fill data entry button: You will be taken to a page containing 13 wizards, each guiding you through a specific section of required information. These sections include:
  • Date of Collection: Specify when the data was collected.
  • Authors: Add the names of individuals or organizations responsible for the data project.
  • Terms and Conditions of Use: Provide the terms under which the data can be used.
  • And more relevant details.
Complete each section thoroughly to ensure all necessary information is entered.

1. Introduction

This section gathers basic information about your data projects, such as the project webpage, expected date of completion, and a detailed description of the data. Providing accurate and complete information here will help users quickly understand the purpose and scope of your data project. 2. Data Profile

Data Profiles allow you to showcase your data expertise and interests. By completing your profile, VoxDash can match you with the most suitable data projects and help users discover your data offerings. If you decide to sell your data on VoxDash, your Data Profile will make it easier for potential buyers to find, follow, and engage with you. You don’t need to upload your data to VoxDash to create a Data Profile. These profiles are designed to facilitate communication between data buyers and providers, enabling a better understanding of their needs and offerings. A well-crafted Data Profile enhances your visibility and builds trust within the data marketplace.

3. Vendor Info

A vendor is any company, organization, or institution that provides data projects or data-related services. Vendors are key players in the data ecosystem, offering essential resources for research, analysis, and decision-making. They might specialize in:
  • Collecting, processing, and distributing data projects.
  • Providing tools, software (such as SPSS), or technologies to assist with data analysis.
  • Managing data quality assurance and ensuring compliance with privacy regulations. Completing the Vendor section helps users understand your role and value in the data marketplace. Vendors added here will appear on the overview page of the main website, and each vendor name is clickable to access detailed vendor information.

4. Medias

This section documents the external recognition, references, or mentions that the data project, project, or organization has received. Citations and honors demonstrate the credibility, influence, and impact of the data resource within the research and professional community. Each entry includes: Citation or Honor Title: The formal name of the reference, award, or data project acknowledgment. Description: A short summary explaining the nature of the citation or honor, its context, and its relevance to the data project. Link: A direct URL to the source (e.g., publication, data project repository, award announcement, or institutional page). For example: the listed entry “Data Statistic (Mock)” refers to a recognized data project that has been cited in research or referenced as a model example of structured geospatial data. The description “This is a very good data” indicates its reliability and quality, while the provided link directs users to the corresponding citation source for verification or further details. This section helps users and collaborators quickly assess the data project’s recognition and trace its influence within the research ecosystem. Citation or honor added here will appear on the overview page of the main website.

In this section, you can specify any limitations or restrictions on how your data can be used. Ensure that these details are also clearly mentioned in your Terms and Conditions, which users must accept before accessing your data. These limitations outline the contractual obligations of your buyers,subscribers, or users, and are located on the Limitation page. Note: VoxDash facilitates data transactions but does not enforce these contractual obligations. Clearly communicating expectations protects your interests.

7. Data Project Relation

Use this section to define the relationships between your data project and other projects, files, or APIs available on VoxDash. Linking related projects provides context and enhances discoverability, enabling users to explore your data in connection with other relevant resources. If you have any related data projects, you can view them on the network page. Each data project is clickable, allowing you to navigate directly to its respective page.

8. Technical Contact

Provide the contact information for the person responsible for addressing technical issues related to your Data Project. If you are the designated contact person, you can leave this section empty. Ensuring there’s a clear point of contact helps resolve technical issues promptly and ensures smooth operations.

9. Data Project Info

Use this section to give a clear overview of your data project. Share key information such as the data format, licensing, languages involved, how and how often the data is produced, and the methods used to ensure quality and accuracy. This helps others understand the context, trust the data, and know how it can be used. Feel free to add any notes or keywords that make your project easier to find and work with.

10. Terms and Conditions for Data Project

This section is where you define the terms of use for your data project. These can include specific usage guidelines or follow the standard instructions outlined on the main website. Clear and comprehensive terms protect both your rights and those of your users, ensuring a smooth transaction process. If you upload text for the terms and conditions along with a URL link, they will appear on the Terms and Conditions.

11. File Info

This section displays all the files you’ve uploaded to your data project. From here, you can manage each file individually. Simply click on a file to assign one of the following roles:
  • Main File: The primary data project used in your project.
  • Introduction File: A document that provides background or context about your data project.
  • Sample File: A smaller, representative subset of your data for quick previews or testing.
  • Placeholder File: A placeholder file is a small, usually empty file used to preserve a folder structure or indicate where future files will be added.
Assigning the correct role to each file helps ensure your project is well-organized and easier for others to understand and work with. Find the desired file on the files page.

12. Citation

This section enables you to define how your data should be cited in academic papers, research, or other professional settings. Clear citation instructions ensure you receive proper recognition for your contributions, enhancing the visibility and impact of your work. Click on the blue button in the top right corner to add the citation.

13. Finishing The Data Entry

After completing all 12 wizards, you can either start a new data project or return to the data projects list and continue your work.
